A Sunbiz document number identifies a Florida Division of Corporations record. An EIN identifies a business for federal tax purposes. A UEI identifies an entity in SAM.gov. They serve different systems, so a number that works on one form may be wrong on another. Sunbiz displays the state document number and the IRS-issued FEIN as separate fields. See Florida’s record-field guide.
Match the identifier to the request
| Requested identifier | Issuer | Where to start |
|---|---|---|
| Florida document or registration number | Florida Division of Corporations | The business’s Sunbiz detail record |
| EIN or FEIN | Internal Revenue Service | Your IRS EIN notice or confirmation |
| Unique Entity ID or UEI | SAM.gov | Your entity record in SAM.gov |
The IRS describes an EIN as a nine-digit tax identifier; obtaining one directly from the IRS is free. It may be needed for employees, certain tax returns, banking, or licensing. The question is what the requesting organization needs, rather than which number you happen to have available. Read the IRS EIN overview.
Find the Florida number without mixing up records
- Open the official Sunbiz entity-name search and search your legal business name.
- Open the matching business record, rather than copying a number from a similarly named result.
- Compare the legal name, entity type, and business details with your records.
- Copy the value labelled Document Number. Keep any leading characters and zeros exactly as displayed.
Florida’s search guide explains that name results include document numbers and status. If a document-number search returns no record, try the business name and check for a zero entered as the letter O. Use the official Sunbiz search guidance. For a proposed business name rather than an existing record, see our Florida LLC name-search guide.
Use IRS records to confirm an EIN
Keep the EIN confirmation with your business records. If you need official verification, the IRS describes several options: an eligible Business Tax Account user can download a digital CP575 notice, a business transcript can be requested, or an authorized person can contact the IRS business tax line. Review the IRS confirmation options.
A useful internal worksheet has separate rows for each identifier, the source document, and the date you checked it. Avoid an ambiguous field labelled only “business ID.” That small distinction helps when a bookkeeper, bank, or customer asks for a number months after formation.
A UEI is different from an active SAM registration
SAM.gov offers two paths: request a UEI only, or complete an entity registration. A UEI-only request does not allow you to apply directly for federal awards. Registration is the route for organizations seeking to bid directly on federal contracts or apply for federal assistance. Existing registrations must be renewed every 365 days to remain active. Compare the official SAM.gov options.
The government does not charge for a UEI, entity registration, or maintaining that registration. For full registration, prepare the information in the official checklist, including legal business details and the applicable tax and financial information. Keep sensitive information within the appropriate official process. Download SAM.gov’s registration checklist.
An example: one business, three requests
Imagine a Florida design studio gathering its paperwork. A state-record form asks for its Florida document number. A separate onboarding form asks specifically for its EIN. A federal opportunity asks for its UEI and registration status. The studio should answer each labelled request from the corresponding record, rather than reuse the first number it finds.
Before sending a number
- Read the complete field label and any instructions.
- Confirm which legal entity the form concerns.
- Use the issuing agency’s record to resolve conflicting copies.
- If the request says only “registration number,” ask the recipient which agency’s number they mean.
